How can I take better phone messages?

Elements of a Phone Message

We all take phone messages for someone else at one time or another. Here are the basic details you should take note of:

  • caller's name (ask caller to spell it if not sure)
  • company name
  • caller's phone number and extension (read it back to make sure it's right)
  • date and time of call
  • what action the message recipient is supposed to take (call back, wait for another call, etc.)
